Invoicing Settings
You can set up different invoicing settings for each Account. To do so, click on the "Invoice" tab when editing an Account.
Due after: This determines the due date of the invoice from the time it is generated. Example: 45 days
Payment Terms Description: This describes the due date interval. Example: Net 45
Total Price Adjustment: This can be an addition or subtraction to the total amount of the invoice: Example, you can apply a -10% discount for all invoiced rides for the month.
Customer Notes: This appears on the invoice sent to the client.
Terms & Conditions: This appears on the invoice sent to the client.
Include rides paid via cash: If enabled, invoices will include rides paid via cash as line items.
Include rides paid via credit: If enabled, invoices will include rides paid via credit as line items.
Generating Invoices
From the left menu, select "Billing" > "Invoices". From there, you can click "New Invoice" in the top right. This will allow you to choose an Account and a date range. It will load all rides charged via the "Invoice" payment method for that date range. If you don't see any rides appear as line items, please be sure that they were marked as invoiced for that date range.
Sending Invoices
When viewing an invoice, you can click "Send" in the bottom right-hand corner. This will create an email template that can be sent to the corporate billing contact and any other emails that you specify. A PDF copy of the invoice will be included as an attachment.
Recording Payments
When viewing an invoice, you can click on the "Payments" tab to manage payments. From here, you can mark any payments you've received, and the amount due on the invoice will automatically be recalculated. You can then choose to resend it to the billing contact.
